Volunteer and Staff Roles

 

 

 

 

Registration

 

 

Greeter ( Michelle  )

 

·       You will be located at the door in front of the library (it’s an atrium)

·       You are there to welcome people to podcamp, and let people know that this is a registered event.

·       There may be people just looking to get into the library.  

o      “The library will be open to the public at 2pm.  You are welcome to try and register for podcamp if you wish, there may still be room” (at the registration desk for non-pre-registered).

·       “What’s a Podcamp?”

o      “It’s an informal gathering for people to talk about social media:  blogs, wikis, facebook, etc.”

·       “What’s a blog/wiki/etc?”

o      “Just easy ways of sharing information online.”

·       “I heard there was a cake decorating contest today?”

o      “That will happen on the second floor of the library at 3pm.   The library will be open at 2.”

·       “Where’s Andrew Baron going to be?”

o      “In the Alderney Landing Theatre at 1:30 pm, after lunch.   You will need a lanyard/nametag to get in.”

 

 

Registrars (Ben, Reel Ninja, Shannon, etc)

 

 

 

 

·       You will have a sheet with details on registration for a specific letter range (last name).

·       When someone arrives:

o      Check their name on the list.

o      Cross off their name if they are on the list

o      Send them to the non-pre-registered desk if they are not on the list.

·       Each participant receives a lanyard with their name on it.  

o      “guests” of the person who registered have to enter their own name.   Markers will be inside the building.

o      Explain that the barcode on the lanyard provides access to wireless and public computers.

o      DON’T LOSE THE LANYARD!  That’s what gets you in to see Andrew Baron speak.

o      “speakers” and “sponsors” receive special cloth lanyards.   Please ask them to return these at the information desk when the day is through.

·       Anyone from media should go to the “Teen Area” past the information desk on the right.  You can give them a blank card with a lanyard.  Jon McGinley will be their contact.

·       Generally, assume that anyone who claims to be a guest or who thought they were registered, did in fact register.   Send them to the “non-pre-registered” desk.

 

 

 

Non-Pre-Registered Desk (Shannon)

 

 

 

 

·       This person makes the final call on any registration anomalies.   

·       Welcome them to podcamp.  We are sold out, but we reserved some extra slots in case of mistakes, etc.

·       A person might be annoyed because they got in line at one of the other desks thinking they were registered.   Blame Ryan, it’s his first time organizing one of these things.

·       Add their name and email to the list.    Provide them with a name tag.  

·       The rest is as above (code for wifi, media to teen area etc.)

 

 

 

 

 

 

Podcasters (Becka, Jacob, Derek, Katherine)

 

 

 

 

·       You have a flip camera, your job is to record as much of the podcamp as possible.

·       Ken Williment is your contact.   If your camera is full or the batteries run out, you go to him.

·       You can do interviews as well:

o      Ask a person if they are willing to be interviewed.

o      The interview is for the web, and for the library to report on podcamp.

o      You will have a keychain with different colours.   You can ask people to choose a colour and these have questions.   Just ask them the question and videotape them.

o      You should also video tape portions of any session that seems interesting.    Especially the ones where there is a lot of two-way conversation.

·       This is a good opportunity to network!   Please do ask to be introduced to people etc..

 

 

 


 

 

 

General Staff/Floater/Volunteers

 

 

 

 

·       Your role is to answer questions, be involved, and be on the look-out for safety concerns.

·       The 1st Floor Information Desk is the “home base” – if we need photocopies of anything etc. then go there.

·       The most important issue to cover is Room capacity.   If a room appears to be filling up, we’ll need someone to “man the door.”

o      Tynes can hold up to 25

o      Creighton up to 90

o      Starr up to 12

o      Boardroom up to 35

·       We will be asking participants to see themselves as “in community” so please feel free to grab a few folks to help you out if you need help to handle any situations.

·       Andrew Curran (the IT person for the day) may need some support/help as well.

 

 

 

 

 

 

Facilitator/MC (Carman)

 

 

 

 

·       Ryan will introduce you and thank sponsors at 9am sharp.

·       Introduce the idea of the space as a community space, “your” space, and we all have the responsibility for making this a great camp.

o      Plenty of flexible seating/flip charts/crayons/playdough etc.

o      Point out the market place / matrix / timetable

o      Point out the chart for additional meet-ups etc.

·       Explain the concepts/rules of “Open Space” the law of two feet etc.

·       Programmes have a map of the library, including washrooms etc.

·       The Alderney Landing Theatre is outside the library, up the escalator etc.   Follow the signs!

·       Also mention that the library has plenty of break-out space for networking, special meetings conversations etc.   Go where you are learning the most.

·       From here on until 12:00 am, except for friendly reminders about the end of sessions, there is going to be little in terms of organization for the camp.   There’s a break at 10 am.

·       Andrew Baron speaks at 1:30 pm in the Alderney Landing Theatre.   Before and after that talk we’ll frame the rest of the day as well.
